Fort Walton Beach Property Management Rental Application Criteria
Thank you for your interest in renting a property managed by All American Realty & Investment Group. Our goal is to provide a fair, consistent, and objective application process for all applicants while protecting the interests of our property owners.
All applicants are evaluated using the same rental criteria and screening standards. Approval decisions are based on the overall strength of the application and not any single factor.
A copy of these screening criteria is provided to all applicants prior to submission. Submitting an application confirms that you have reviewed and understood these criteria.

Application Requirements
Each person eighteen (18) years of age or older who intends to occupy the property must submit a separate rental application, regardless of whether their income or credit will be used to qualify.
Applications must be completed in full and submitted electronically.
A non-refundable application fee of $65.00 per applicant is required before processing can begin. This fee covers the cost of credit, criminal, eviction, identity, employment, and rental history screening.
The following items must be submitted before an application is considered complete:
- Completed application
- Government-issued photo identification
- Valid Social Security Number (SSN) or Individual Taxpayer Identification Number (ITIN)
- Proof of income
- Supporting documentation requested by management
Management reserves the right to request additional documentation to verify identity, income, employment, residency, or other information contained within the application.

Identity Verification
Applicants must provide one of the following forms of valid government-issued photo identification:
- Driver's License
- State Identification Card
- Military Identification Card
- Passport
- Other government-issued photo identification
Management reserves the right to require additional identity verification measures to prevent fraud and verify applicant identity.

Income Requirements
Combined gross monthly income of all leaseholders must equal at least three (3) times the monthly rent unless otherwise approved by management. Income must be stable, ongoing, and verifiable.
Acceptable income sources may include:
- Employment income
- Self-employment income
- Retirement income
- Social Security benefits
- Disability benefits
- Military benefits
- Pension income
- Trust distributions
- Structured settlement payments
- Alimony or child support (if voluntarily disclosed by the applicant)
- Other verifiable sources of income
Applicants are not required to disclose alimony, child support, or separate maintenance income unless they wish such income to be considered.

Employment Verification
Management may verify employment directly with employers and may request:
- Recent pay stubs
- Employment offer letters
- Transfer letters
- Military PCS orders
- Tax returns
- Bank statements
Applicants employed for less than sixty (60) days may be required to provide additional documentation demonstrating income stability.

Self-Employment Verification
Self-employed applicants may be required to provide:
- Two most recent federal tax returns
- Six months of business and/or personal bank statements
- Profit and loss statements
- 1099 forms
- Other documentation reasonably necessary to verify income

Rental History
Applicants should demonstrate a minimum of twelve (12) months of satisfactory rental or mortgage payment history. Management will review prior landlord references, rental payment history, lease compliance, and overall residency history.
The following may negatively impact approval:
- Outstanding balances owed to landlords
- Residential collections
- Repeated late rental payments
- Lease violations
- Property damage caused by the applicant
- Material breach of a prior lease agreement
Living with relatives or friends may not constitute verifiable rental history and may require additional supporting documentation or additional security deposit if approved. Applicants who previously owned a home may satisfy rental history requirements through mortgage payment history and credit references.

Credit History
Credit reports are evaluated as one component of the overall application. Management reviews factors including:
- Payment history
- Outstanding collections
- Judgments
- Prior landlord debt
- Utility collections
- Outstanding obligations
- Debt repayment history
- Overall financial responsibility
No applicant is approved or denied solely based upon a credit score. Credit scores are considered along with income, rental history, employment stability, and other qualifying factors. Applicants with limited credit history may still qualify based upon compensating factors.

Bankruptcy
Bankruptcy filings will be evaluated based on the applicant's overall financial circumstances, current income, payment history, and demonstrated ability to satisfy lease obligations. Open bankruptcy proceedings may require additional review and documentation.

Criminal History
All American Realty & Investment Group complies with applicable Fair Housing guidance regarding criminal history screening. Criminal records will not result in automatic denial except where required by law.
Applications involving criminal history will be evaluated individually based on:
- Nature and severity of the offense
- Time elapsed since conviction
- Age at the time of the offense
- Evidence of rehabilitation
- Rental history before and after the offense
- Whether the conduct indicates a current direct threat to persons or property
Arrest records that did not result in a conviction will not be used as the sole basis for denial. Applicants whose tenancy would constitute a direct threat to the health, safety, or property of others may be denied.

Eviction History
Management may review eviction filings, judgments, possession actions, and related landlord-tenant court records. Outstanding landlord debt, unpaid rent judgments, or significant adverse landlord-tenant history may result in denial. Each application will be evaluated based on the totality of circumstances and available documentation.

Occupancy Standards
Occupancy standards generally permit two (2) persons per bedroom plus one additional occupant, subject to:
- Property size and configuration
- Local occupancy codes
- Homeowners Association restrictions
- Applicable laws and regulations
Management reserves the right to establish reasonable occupancy limits consistent with applicable law.

Multiple Applications
Properties remain available until a lease is executed and all required move-in funds are paid. When multiple qualified applications are received for the same property, management reserves the right to select the application that best meets the owner's legitimate business objectives, including but not limited to:
- Proposed move-in date
- Lease commencement date
- Income stability
- Rental history
- Overall application strength
Applications are not approved on a first-come, first-served basis. Selection is never made on the basis of any protected characteristic under applicable federal or state law.

Application Accuracy and Fraud Prevention
All information submitted on an application must be complete and accurate. Any material misrepresentation, omission, falsification of information, alteration of documents, or submission of fraudulent information may result in:
- Application denial
- Withdrawal of approval
- Forfeiture of any holding fee as permitted by law
- Lease termination if discovered after occupancy

Application Processing
Most applications are processed within twenty-four (24) to forty-eight (48) business hours after receipt of a complete application package. Processing times may be extended if management is unable to verify employment, income, rental history, or other information. The applicant is responsible for providing accurate contact information and supporting documentation.
Active-Duty Service Members: Under Florida law, applications submitted by active-duty service members must be processed and a decision communicated within seven (7) days of submission. If a service member is not notified of approval or denial within this period, the lease may automatically go into effect.

Security Deposits
Security deposit amounts are determined based on the overall strength of the application. Standard security deposits are typically equal to one month's rent. Management may require additional security deposit amounts when permitted by law and supported by application findings.
Security deposits are held in compliance with Florida Statute Section 83.49. Residents will be notified in writing of the name and address of the financial institution holding the deposit and the manner in which it is being held within 30 days of move-in.

Prepaid Move-Out Cleaning Fee
In addition to the required security deposit, all approved applicants are required to pay a non-refundable prepaid move-out cleaning fee prior to move-in.
This fee helps ensure the property can be professionally cleaned and prepared for future occupancy upon move-out, maintaining a consistent standard of cleanliness for residents and property owners.
The prepaid move-out cleaning fee is determined based on factors including the property's square footage, number of bathrooms, overall size, and flooring types. The exact fee amount will be disclosed prior to lease signing and must be paid before possession of the property is granted.
This fee is separate from and in addition to the security deposit, pet fees, pet rent, and other move-in charges. The prepaid move-out cleaning fee does not relieve residents of responsibility for damages, excessive cleaning, neglect, unauthorized alterations, or other lease violations beyond normal wear and tear.

Holding Fee
Upon approval, applicants may be required to submit a holding fee to reserve the property. Failure to execute the lease agreement or take possession on the agreed move-in date may result in forfeiture of the holding fee as permitted by Florida law and the terms of the holding fee agreement.

Rent Payments
Rent is due on the first (1st) day of each month. Late fees are assessed in accordance with the lease agreement and applicable Florida law. Payments must be made through approved electronic payment methods available through the resident portal. Move-ins occurring after the first day of the month will be prorated.

Resident Benefits Package
All residents are required to participate in the All American Realty & Investment Group Resident Benefits Package.
The Resident Benefits Package is billed at $65.00 per month in addition to the monthly rent and includes various services and benefits designed to enhance the resident experience and support tenancy throughout the lease term.
Participation in the Resident Benefits Package is mandatory for all residents and is not optional unless otherwise required by law. Additional information regarding the Resident Benefits Package and its included services will be provided prior to lease signing.

Pets and Assistance Animals
All applicants and residents are required to complete a pet and animal screening profile through our approved screening provider, regardless of whether they have a pet, a service animal, an assistance animal, or no animals at all. This requirement helps maintain accurate property records and ensures compliance with owner, insurance, and community requirements.
Pets are subject to owner approval, community restrictions, homeowners' association rules, and insurance carrier requirements. Approved pets are subject to the following fees:
- One-time Pet Processing Fee: $150 per pet
- Monthly Pet Rent: $35 per pet
Additional pet restrictions, including breed, size, age, and quantity limitations, may apply depending on the property, owner requirements, homeowners' association regulations, or insurance carrier guidelines. Pets prohibited by owner requirements, association rules, insurance restrictions, or applicable law will not be approved.
Service Animals and Assistance Animals are not considered pets and are not subject to pet processing fees, pet rent, pet deposits, breed restrictions, weight restrictions, or other pet-related fees. All requests for reasonable accommodations involving assistance animals will be reviewed and processed in accordance with applicable Fair Housing laws.
Applicants or residents requesting a reasonable accommodation for an assistance animal may be required to provide reliable documentation permitted by law when the disability and disability-related need for the animal are not readily apparent. If you require a reasonable accommodation for an assistance animal, we encourage you to notify our office before or during the application process so we may assist you promptly.

Tenant Liability Coverage and Renters Insurance
As part of our Resident Benefits Package, all residents are automatically enrolled in our Tenant Landlord Liability (TLL) coverage program. This program provides liability protection designed to help cover certain damages for which a resident may be legally liable under the lease agreement.
Tenant Landlord Liability coverage is not renters insurance and does not provide coverage for a resident's personal belongings, additional living expenses, loss of use, theft, fire, water damage, or other personal property losses.
Because TLL coverage does not provide the same protections as a renters insurance policy, residents are strongly encouraged to obtain a separate renters insurance policy to protect their personal property and financial interests.
Residents are responsible for understanding the terms, conditions, limitations, and exclusions of any insurance or liability coverage program. All American Realty & Investment Group makes no representation that Tenant Landlord Liability coverage provides the same benefits as a renters insurance policy.

Adverse Action Notice
If your application is denied or conditionally approved based in whole or in part on information obtained from a consumer reporting agency, you will receive a written Adverse Action Notice as required by the Fair Credit Reporting Act (FCRA). This notice will include the name, address, and phone number of the agency used; your right to obtain a free copy of the consumer report within 60 days; and your right to dispute the accuracy or completeness of any information in the report.
